September 2023 Board Meeting Minutes
The September board meeting was held on the 12th at 6:30 PM via Zoom video conference.

The August Meeting Minutes had been posted to Freedcamp prior to the meeting. A discussion
of club activities, events, and general business followed.


Motion to accept treasurer’s report.
Approved.

General Business
The nominating committee has selected potential successors to fill all open roles for
2024. The slate will be published to all members by two forms of communication by
October . Ballots by start of Nov. Email blast with election slate or nominees in next
week. Gala, Dow, Treehouse in blast.

Treasurer
Year to date revenue discussed. Last month’s numbers experienced timing delay in
clubreg. Reviewed HPDE profit and loss so far as well as subsidized social. Discussed
Calabogie revenue loss. VP driving to share subsidy sheet with the board (has not
increased in 6 years).

Administration
Yet to get date from Paul Russell – aiming for November.
New Porsches and coffee Oct 8 th set up at Treehouse Brewery in Charlton, potential for
food truck offered. Hope to set up monthly event.
Gala ticket price will remain at $95 each.

New location being sought for annual newcomers meeting – ideally there will be 2 per
year, with typical late March early April timeframe. 95-100 people.
Winter warmer discussed.
Event strategy meeting will be set for new year, possible target demographics by event
type.

Membership
Membership numbers stable. Plan to transition to new board representative and consolidate
roles that were rearranged previously for email blasts.
Discussed need to organize Red book including digital asset documentation and prepare for
2024 board member transition plan. Board members who are leaving to make sure access rights
and platform info is in red book.

Driving
Talk of cancelling Calabogie to be continued in DE meeting.
Autocross on track. Ramble, Dennis optimistic in effort to find new ramble-meister.
Dow rally moving along.

Communications
September events posted.
Larry and Paul Soares continue to help with social engagement.
Comms seat candidate on still interested.
Google, traffic trend analytics will be partial until G4 catches up for a full year. Seeing
80% of traffic vs last year. Discussed whether related to change in email frequency last
fall.

April 2022 Board Meeting Minutes

The April board meeting was held on April 13th at 6:00 PM via Zoom video conference.

The March Meeting Minutes had been approved via email and published on Porschenet.com prior to the April meeting. A discussion of club activities, events, and general business followed.  The possibility of conducting an in-person board meetings was discussed and will be decided in May.

  • Treasury Report

The Board approved the monthly Treasurer’s Report.  The cost of the 2021 Gala was discussed.  The total expenditure was on par with previous events despite lower turnout.

 

  • Sponsorship & Advertising Update

Robert updated the deck available to potential advertisers.  Robert is organizing a list of sponsors committed to advertising and what their support includes in terms of website and social media exposure.

 

  • Administration

Newcomers meeting was successful with 85+ attendees including some unregistered attendees as people had difficulty accessing the NER specific site. There was discussion about highlighting the difference between NER and PCA National login credentials.  Membership verified that all new members are informed that they need separate credentials for the NER website in their welcome email. The communications team also highlighted this at the newcomer’s meeting.

Notch brewery tour will be rescheduled for June and Collins museum registration will open mid-April.

The summer party was proposed for July 24th, there was concern that attendance may be impacted by an NCR HPDE scheduled for the same day.  It was agreed that the date for the summer party should be moved to a later date targeting August 7th.  Further discussion included a liability question with PCA national about the chairlift ride.  Administration will contact Wachusett to investigate liability terms within the event contract or whether an insurance binder could be provided to cover any PCA concerns. Administration requested help finding a volunteer to act as chairperson(s) for the summer party event. In addition, a proposal was made to establish a children’s advisory board to help with activity planning to build a family oriented community around the summer party. Finally, an inquiry was made about extending the event end time by another hour and a suggestion was made to include a pinewood derby event to further engage younger attendees.

Discussed enhancing social events to attract more family members for lunches, dinners, or other non-car focused activities.  An example would be hosting a lunch after a Porches and coffees event.

  • Driving

Upcoming ramble, autocross, and DE events are all on track as expected. Charles Kenney, Adam Schwartz, and Paul Skinner will covering Stan Corbett’s registration and safety activities as needed.

  • Membership

Membership numbers are steady. Membership chair requested a list of email addresses for newcomer’s meeting attendees in order to send follow-up email. Membership would like communications to re-cycle the article that was published after the 2021 newcomer’s meeting to inform new members of contacts within NER.

  • Communications

Website traffic is trending upwards with younger age groups. Analysis of website and registered NER member data is indicating increased traffic by Macan owners. Social media chair will be relocating and switching PCA regions.  Communications requested additional voluneers to cover these responsibilities and assist with content creation, advertising support, and website backend functions. Luis will be putting together a recruiting article for the website. Robert had a conversation with an interested member at last year’s summer party.  He will provide the name of this person to communications for follow-up.

The next NER board meeting is scheduled for May 11th at 6:00PM on Zoom.

February 2022 Board Meeting Minutes

The February board meeting was held on February 9th at 6:00 PM via Zoom video conference.

The Board approved the monthly Treasurer’s Report. The January Meeting Minutes had been approved via email and published on Porschenet.com prior to the February meeting. A discussion of club activities, events, and general business followed.

  • Sponsorship & Advertising Update – Robert circulated the latest sponsorship & advertising deck prior to the meeting, requesting feedback. Discussions included limiting allowance of business promotion on the NER PCA Facebook pages to those with paid advertising agreements in place. Logistics around policing this to be determined as additional administrators may need to be set up in Facebook. Luis also proposed pursuing paid advertising opportunities within the Facebook platform.

The board also discussed wording of Gala sponsorship as the event typically celebrates all of the advertisers and sponsors who support the club throughout the year. Listing this opportunity will be framed as one of the benefits of advertising with the club rather than an opportunity to be a sole sponsor of the gala itself.

  • Administration – Event planning continues and new events will be added to the Porschenet.com calendar as confirmation is received by the hosts.

The team continues to monitor COVID guidelines and announcements with the hope of moving potential events to earlier dates.

Newcomers Meeting confirmed for April 10th at Porsche Norwell. Activity chairs are requested to attend. Glenn and Betty Mae will connect with Jerome for appropriate contacts.

  • Driving – Budgets are on track, no significant issues or changes over last year expected. Revenue expectations will continue to be in flux as COVID guidelines and resulting attendance may fluctuate.

Ramble: On track to be on budget, revenue dependent on final attendance headcount. Clarification requested of Ramble budget documentation method in terms of lodging expenses and credits which are paid directly by participants.

Autocross: Contingency in place for potential purchase of replacement timing electronics. Autocross to continue typical annual donation.

Driver’s Education: Tracks have raised prices including some pass-through cost for safety resources. Entry fees for specific events will increase proportionally where necessary.  Previous year discounts for 3-day bundles will not be offered this year. Instructor entry fees will be reduced for some events and the committee is proposing entirely subsidized instructor entry fees for the Thompson event as the increased beginner turn-out for this first event of the season warrants a need for as many instructors to be available as possible. Sponsorships have not been factored into the submitted budget as commitments have not been secured yet but the DE committee projects normal profitability given expected attendance rate. Additional tech inspection station has been added at Porsche Stratham in NH. Forms stamped by an NCR-approved inspection station are also accepted at NER events.

Concours: Scheduled for October 1st during Audrain’s Motor Week with a rain date of October 2nd. Porsche Warwick will continue to be the primary sponsor for this event. There were 118 entrees in 2021 and the estimate for 2022 is expected to be the same, roughly 120 participants with space to accommodate volunteers and some spectators. 2022 classing will continue to include the Full and Werks categories. David will attend upcoming meetings between Audrain management and Porsche Cars North America representatives as PCNA expects to have a larger presence at the 2022 Motor Week. 

  • Communications – Porschenet.com traffic, both users and sessions, have increased 60% over last year. Increased content availability is trending in a positive direction including contributions in response to Anker’s Drivers License story request as well as the continuation of the #WinterBeaters series with 3 new articles in the pipeline at the time of this meeting. There is a significant uptick in traffic within the 35-40 year old age group which seems to be in line with the perceived shift in target demographics from Porsche advertising as a whole. Being attuned to the age demographic and geographic concentrations of active members can impact event planning and benefit the membership experience.

There have not been opportunities to use the standardized templates for event reports yet but they are expected to be adopted as a positive gateway to foster participation by currently passive members. Luis will ask Maddox to set up a meeting to further discuss implementation of templates and logistics for members to access and submit these to the communications team.

  • Membership – Our PCA Northeast Region currently has 3,387 primary and affiliate members. No significant increase or decrease in the numbers over this time in past years. Lisa has requested PCA decals from National for the Newcomers meeting and will also bring the NER logo decals remaining from last year’s Rallies. Discussion regarding availability of NER-branded giveaway items; Lisa clarified we do not have a supply on hand but can choose to order promotional items if the board requests. Types of merchandise and quantity will need to be discussed and approved.

Recent new member welcome emails highlighted that the Ramble is not showing up on the Porschenet events calendar. Lisa will add it and link to the registration instructions.

Gala rescheduling has resulted in a number of cancellations and very few new registrations. Lisa will increase advertising push in conjunction with the reminder that the special rate for hotel bookings expires on February 24th.

January 2022 Board Meeting Minutes

The Board approved the monthly Treasurer’s Report and the December Meeting Minutes. A discussion of club activities, events, and general business followed.

Incoming Board Member Logistics – New board members, need access to the systems used for event and board meeting logistics, including:
▪ Freedcamp access is needed for Erick, Glenn, and Betty Mae
▪ Email address forwarding in place, Lisa looking for webmail access to the Membership account
▪ National needs updating for Membership reports (Lisa & Robert) as well as NER contacts; Robert submitted President’s Report at the end of December
▪ Porschenet updates are needed for activity chairs, including adding Charlie to the DE contacts. Stan will update the DE site as well as post the 2022 event dates. Luis will review other contact info on the site for updating.
▪ NER Zoom Admin login details will be posted in Freedcamp
▪ Board members to exchange cell phone contact information


Sponsorship/Advertising – Subcommittee met prior to board meeting and plan to have advertiser deck ready to distribute to past advertisers and sponsors by the end of January. DE welcomes ideas for new sponsors. Autocross, Concours, Ramble have lined up their sponsors for the year, DE in progress. Paul Skinner will be the primary contact for DE. For Autocross, Ramble and Concours, the chairs will be handling directly. Rally to independently solicit sponsors for the time being. Social events to be discussed as the dates are typically not defined this early in the year. All activity chairs must notify Kristin once sponsorships are solidified.


Administration – 4 events are lined up, including Q Car Care, Collings Museum, Porsche Norwell F1 Grand Prix viewing, SSA Tech Session. We are discussing Notch Brewery tour which lead to a conversation on COVID protocol or restrictions. Board agreed to plan events but monitor public safety measures, including CDC, state, local, and venue requirements as the year progresses. For cars & coffee events, Mark Shane has been named event chair and is working on a covered event at Cambridgeside Galleria. Board agreed to rebrand the events from Cars & Coffee to Porsches and Coffee as there is concern about our ability to police the behavior of non-club participants. A virtual winter warmer and possible tech session were proposed. Board welcomes volunteers from the membership population who would be interested in moderating or participating in virtual panel discussions.

 

● Gala Reschedule – The Board decided via email in late December to postpone the Gala from January 8th until a later date due to concerns about the recent increase in COVID infections and the possibility of needing to re-institute the use of masks or request attendees show proof of vaccination. In order to maintain event cadence (holding this event before the next season starts) and not overlap with other major annual events such as the Ramble or Summer Party, the Board proposed late March/early April dates with Gillette. Lisa will check if early April dates are available, with March 26th as the fallback option. The use of Communicable disease waivers was suspended July 1st of 2021 by PCA and will not be needed until further notification.


● Driving – DE and Autocross are finalizing 2022 budgets and will be close to the same as last year, with the possibility of additional revenue due to Calabogie and Mont Tremblant events being back on the schedule. Autocross could potentially have additional expenditure for comms equipment but will monitor the situation and notify the Board accordingly. Autocross will host the traditional school early in the season. Ramble is on schedule and has no concerns. There is an offer to help organize the spring rally, Jerome to forward Lisa’s contact information. Concours on track, no issues. Sim Racing continues to have fun.


● Communications – The 2022 content calendar google doc has been shared with the Board. There has been more traffic to the website both in terms of volume and frequency in recent months. Challenges continue in obtaining articles, content, and particularly event reports which are required by PCA national. To address the event report gap, a template has been circulated and posted to Freedcamp with the goal of simplifying the workflow and encouraging event attendees to assist. Discussion about means to upload reports directly will be taken offline by Jerome to contact Maddox.


● Membership – Our PCA Northeast Region currently has 3,383 primary and affiliate members. Anker analyzed email address availability per the December meeting minutes and determined that we do have contact information for almost all primary members and the concern about reaching everyone does not warrant further review. Lisa has yet to absorb all membership activities but will pursue taking on as much of the analysis and reporting capabilities that Anker built as possible as well as begin sending welcome emails to new members upon gaining access to the webmail portal.

After approving the monthly Treasurer’s Report, the Board began a discussion of club activities, events, and general business.

  • Driving – Jerome provided a brief update on the 2022 Ramble in Newport, RI.  Dennis Friedman will be sending an email to members soon. The Board approved a paragraph that will address COVID concerns.  NER’s Concours Chair, David Melchar, had proposed that the 2022 Concours be held at the Elms in Newport again. The Board approved.  The Board also approved Dave as the NER Concours Chair for 2022, considering his outstanding management of past events.
  • Social – Lisa provided an update on the annual Gala at Gillette Stadium on January 8th.  Prior to the dinner phase of the Gala, our attendees may join one of the stadium tours for a fee.  Earlier in the day, there will non-club Go-Kart event at Supercharged Entertainment’s indoor track in Wrentham. Interested racers should see the NER website and contact Joe Cracco.  Because the stadium has upgraded its media displays around the field, the cost to use the exterior displays has increased. The Board agreed that the cost was too high and that we will not use those displays for the Gala event.  The Board approved the plan to provide the traditional drink coupon to each Gala attendee.

Winter social events were discussed. Mark Shane and Betty Mae Mosley have each been in contact with the operators of the Cambridge Galleria regarding a possible Cars & Coffee in the Mall’s parking garage as well as dining experience at one of the restaurants.

Bill Seymour and Anker Berg-Sonne welcomed the new Board members who will begin next month and thanked the departing members who have worked hard during their years on the Board.

The Board approved the monthly Treasurer’s Report and the October Meeting Minutes. A discussion of club activities, events, and general business followed.

  • Driving – Adam reported that NER had a successful 2021 DE season with very good attendance and satisfied drivers. The Track Committee attributes this success to their focus on consistency. Each NER DE event follows the same process – as such, the participants know what to expect, and the events run smoothly and efficiently. The committee is working on scheduling for next year. Most of the dates are locked in, and contracts are underway.  If the border remains open, they expect that we will return to Canada in 2022.
  • Social – Lisa provided an update on the Gala that will be held at Gillette Stadium on January 8th. The deadline for registrations will be upon us soon.  The Gala won’t be our only winter activity. With input from Luis, we’ve got a long list of potential cold-weather events, including cars & coffee, tech sessions, karting, and Sim racing.  Volunteers to lead these events are sought.
  • Membership – Our PCA Northeast Region currently has 3,371 primary and affiliate members. As we’ve evolved with the digital age, email has become our main way of communicating with members. Yet, we do not have email addresses for every member. As such, we are not in contact with a portion of our membership.  Anker, Stan, and Luis have volunteered to analyze the data that we do have and develop a mailing list and reach out via a postcard to our email-less members.
