Glenn Opened up with a powerpoint presentation and reminded everyone that an executive session will follow this meeting.

Setting goals and review events/quality/tweak/replace and revisit.

Website – content has stopped flowing . outdated, not reflective of a contemporary club

Remove Nor’easter references, they are dated back to 2021, and placed in the center on menu bar

Chairs/Event mgrs.. you are responsible to confirm the content is updated.. (Luis will speak later in the program)

DE/Stan goes into the event page and sets up on the website, the links etc.. (Does anyone help Stan) (Upcoming Events) needs organization, inaccurate (Ann Anderson still DE Instructor ?), hard to locate and started the classroom session at DE and wants to upload those discussions and realize we have a lot of work to do and clean up and do a sort of spring cleaning.

WordPress is not a website development platform, more blogging of a blogging site. There has also been issues with event registrations and website logins.

Let’s continue to use Eventbrite for event registrations.

There is a fee associated with these EventBrite Increase.. (Chris and Paul are using the (Motorsport and ClubReg used for the Ramble). Standardizing on one platform in 2024 will make it easier for our members

(Standardize the motorsport registration)

Review options etc.. Using Club Registration can use for multiple paying, non-paying and non-driving events (Motorsport Registration – Mark S. can speak to them).

Motosport Reg Database, has an eblast 300mile radius (Cape to Watkins Glen) they help you in terms of event promotion to a greater geographic.

Bailey – motorsports reg does not charge for tech session (free events) the fees charged but comparable, sharing screen-prints to support on tech issues.. *Based on the Audi experience*

Moving forward with Motorsports registration – all agreed. Need to create a profile, and you can reuse the profile..

In-House Talent – can we build using internal resources (Mark S. has some outside folks)

Webforms, Wix, Square Space – Glenn has experience with Wix – not committed but we need a more contemporary robust platform. (CT, NJ sites are very impressive and get to that caliber of a standard, we need to move forward with a sleeker version) CT is really on point.

Glenn noted that a Zone 1 Presidents Albany, April ’24. Glenn will ask the other presidents on best practices/shared advice. Bring questions to Glenn so he can take to the Albany Meeting..

Next Topic – Sponsorship / Partnerships

Account Mgt – Need to do internal check-ins. Glenn recommends an on-site visit or monthly/quarterly email club update.

Let us not overwhelm our sponsors and maintain positive relationships.

Do a Check-In (Porsche Burlington) Mark S. owns this contact / relationship.

Gold/Silver/Bronze – levels of commitment/access how can we give back to the sponsors.

Title Sponsors – Cayman Island (Dave M.) – sharing his process second tier sponsors.

Ramble – Can Gerry Pelegrino be a title sponsor and seek out secondary additional sponsors.

Let us not take advantage of our sponsors and create a partnership and we need to also ask what we can do for them. Glenn sees this as a partnership. We all win when we support..

Sponsor Partnership Mgr. – Glenn is very concerned about too many event/program repeatedly contacting the same for sponsor for funding. A sponsorship manager can help by identify NER members to be sponsor contact. A sponsorship manager could also help build a sponsorship pricing model i.e., Gold/Silver/Bronze.

Glenn called the meeting at 6:40PM

We will work 6:30pm-7:30pm moving forward.

Homes for our troops and placed a call due to no feedback and speak to Briana and she shared she did not receive my calls and it went to another Briana and we spoke and they sent a card and were thankful and appreciative and still at this point the outgoing president to choose and we can honor and have a discussion and it is unclear to me and if we are making a difference and how appreciative and what we have done for them and we can stay the course..

Per Kristin – Robert’s decision and it is not a board discussion, and we need Robert to make the call and we should have Robert to make the final decision due to this being a tentative reminder.

Kristin will email Robert to remind him (Robert), and Glenn did not set any expectations and we are ok there.

This is our 65^th anniversary and we did a logo we created and had the event posted in the nor’easter and the article, Ted Shaw, tom take and Alicia k an bill found some older status reports from 1960 and use that again and ask them to come up with a 65^th logo and perhaps sterling and unless others have ideas.

Kristin – In the past we did anniversaries and national may send a banner sharing happy 65^th and I still have the 55^th banner in my basement and asked if Kristin remembered the actual date. Kristin will look to confirm the date. February 4^th, 1959.

Luis asked if we want to highlight at the summer party and give a way.

Mark – it would be interested to see who a member was back then and call them out to gain any info from that point in time…

Kristin does not believe we have any members, and it may have been Martha & Charlie Dow who were the oldest. confirm if we can confirm.

David Melcher has been with us for 50yrs. keeping on track of our members.

Safety Chair – Stan will remain for now until we confirm with Robert.

DE Registrar was stan and he retired.

Board changes from executive session to discuss and make some extra time and not the place to do this now and will reach out to begin conversations and bring others into the loop and Glenn will share the slides to discuss for Stephen.

Treasurer – Bank statement & Balances did post and we are not much different from the end 144K and down due to the Watkins Glenn already and the Clinton 175+K and had been generating interest for the past year and that is the only change due to the Watkins Glenn and not a lot of P&L Change and dinner, Endicott money came back and Watkins Glenn paid for track spills and oil drive and the payments for the ramble 24/25

27K for Watkins down payment 36K income of 1, 500K

144K and the other account 175K take advantage of the investments for a short-term CD and Kristin suggested some good analysis and can we manage if we did this via our checking balances.

6,500 March was the final and that dropped due to track events and moved money into 150K to give us some room and as I mentioned the money market has not increased and over the year.

What we have been retaining and had ample money (liquid assets) and on the checking account .05% interest on the money market 0.15% and the CD rates from the fed are off their highs and an 8 month CD it is just over 5.1% for 8 months and we did not touch money last yr. and the recommendation is to move into a short term CD and take 125K and put into a 8 month and leave 50K in the mmm account and if we needed and 60K in the checking and if we do have to break there is a 3 month interest and there is a 6 month interest at Clinton and we can earn more than we are currently earning and not tie up in a CD and we do not want to break..

Glenn asked about breaking up into CD vs 1 CD and Bailey shared just be able to break 1 CD vs the cost.

Thoughts from the board for the CD conversation – Kristin feels more unlikely, and we will get deposits each week and we may have more cash earlier than the past.

Prior we used to pull after the event and now we do this as time goes by.

Luis – 9k based on 8 months? It seems like an no brainer.

Robert shared – we could do online money markets and can make over 5%.

Bailey the money market can fall faster than a CD and if that is true and if not needed for a while and do a ladder and have go out for a couple of years and pick up 5yrs and have a certain amount mature each 6 months and this is something to think about rather than have sit in the Clinton bank acct.

Robert’s thoughts – Treasuries have had better yields vs the corresponding CDs.

Glenn how often to change for the treasuries – do not do something over burden and break out 50/50/50/50 and keep buying out and we will not get paid to go out past the certain time frame. not roll out each month and twice a yr. if we do 200K and that is 10K in returns a year and that is extra income.

Robert’s thoughts overall – Speak every 3 months and mature every 6 months and look at the interest market and we can view that and now see were we want to place the 50K and the yield curve will normalize and keep it shorter and eventually should normalize on the 2^nd market and (trading at the institutional level on the secondary market and can carry a higher yield.. Open a Charles Schwab/Fido money market and use the 200K to purchase the CDs like securities. thoughts are to purchase a brokerage account.

Bailey’s thoughts – Creates more work and I do not trade secondary CD and there can be a whole bunch of choices and there is a certain amount of risk via the institutions.

Luis shared to have Robert/Bailey are comfortable.

Robert has the experience and feel good in the fixed income and so the next treasurer who knows when we move to the next person.

Glenn/Luis – Have concerns around using a third party and stay the course of the CDs and get an excellent rate and we are making a big leap, and we will make more than in the financial crisis from 2009 and the maximizing our dollars.

Bailey will connect with Clinton moving forward. and revisit down the line.

Luis to revisit Robert’s approach down the line and the CDs will move out of the account and we can connect with Robert’s suggestion.

Move forward 2 CD strategy and meet in the Summer for Robert’s proposal and break the allocation into 2 CDs and need refreshed rates and have 8 months.

Confirm if 150 in CD under.

FDIC rules and split 125K from Clinton savings into equal size 2 8-month CDs the team will agree to use the approval (100% approved)

Luis Comm’s – quick updates, content projects and analytics

More cohesive on postings and sync with email/social created a calendar for all events (home page) and will coordinate on social and email Stephen and Larry and will share as move forward we need a heads up and we need time and will work together to move.

Volunteer (BMM/Stephen/Glenn/Luis) and we want the page to be live for all things social and bring all member traffic there and coordinate in an email for March ’24.

Projects from annual meeting – website cleanup and email and created a priority list to tackle and adhocs may appear and working on two things.

Sites clean-up AutoX page and Chris Ryan agreed and more streamlining and cutting fat to provide more succinct info and put a few hrs. each moth to clean the website/content et. an all over the site and not only on the home page

Google analytics and we use to track and we seem to get younger and they drive more Macon/Cayan and the mid to late Jan we have not been tracking and asked Brett to help how we can consider and highlight a event, not a big concern and we do not want this issue ¾ times down the line (connected with Brett) and wanted to review plug in updates..

Luis will inform the team of Brett needs to attend meetings.

Eventbrite – still an issue (DE/AutoX) there is a concern that we need to use the Eventbrite (Kristin both groups are using Motorsports Reg) and only Mark is using Eventbrite and asked Brett for help, Luis will own the reach out for Brett and will work directly with Mark..

Driving – schedules are done and all are in the planning mode Calabogie has 20 of the 30 spots needed to be filled (10 more participants to break even) is March 25^th there is some concern and trying to strategize and Charlie is 90% done with the budget and being conservative we may have 5K as an increase and they are implementing on rates (raise) and has cut back on some of the drivers.. The team is still trying to find ways to increase the cost.

AutoX – got dates on the website and they are doing the same each year and expect a little bit of a profit. seem to be able to manage some $$$

Ramble/Concourse – mostly full and they still have some rooms and will try to free up if they need to. there may be a potential 5K loss due to food and felt could not increase the cost of food if needed so may loose money if late arrivals.

Membership new 31 (4 transfers in) 3 transfer out and others in the normal space and tracking for the new monthly email (no problems and wants relevant content and will figure out as we get closer and make sure we get the info in a month prior is fantastic will help me to know what I need to add in and spent time on Sunday)

How long – the app is odd, and it is a bit clunky to organize the various parts of the email and that was learning curve and I expect 1 hr. each month and that is a guess and may be able to get down with more time.

Dave M had a friend transfer to the region and wants a “welcome letter” and they did not receive any emails. and that happened 1yr. ago and there was no correspondence.

How do you handle – I go through a few times a week and flag and send a welcome email a couple of times a week and I am learning apparently and can add them to the mail list (Anker owned and he will share with Stephen and will help Stephen to get the new members on the list) and Stephen will add manually

Mark – Social VP Admin

A few points to bring up and the first event at Porsche Herb Chambers was good a success and it was normal for folks to want to get out in the winter months and always attracts a lot of people and one car was sold.

Refreshments and this will not provide this time around restoration project and the team was working in the restoration and coming up soon.

We are close to nailing down the newcomers meeting in Burlington, Porsche and they will need to rent chairs and asked them to provide refreshments and they do not have an audio format and hand out the hard cards with the QR Code.

How do we capture volunteers, do an online form, and register them capture name/email address.

Luis’ suggestion for capturing volunteers and a way to create a tablet and a google survey for folks to register.

Haggerty as a guess speaker due to him selling insurance – have a conversation around his interest in the history of Haggerty and how they started, and we may charge a speaking fee. and how they can engage with clubs etc. National may be ok with the 65^th Event.

Glenn – The first national president’s meeting teleconference of the discussed 2 things items;

On May 1^st, National dues are increasing from $45 to $56. This is 1^st increase since 2011. In that PCA membership has doubled since 2011. Vote was overwhelmingly approved in favor. Glenn recommended we inform our members of the upcoming changes. Those members who are eligible to renew prior to May 1^st may want to take advantage of current pricing. Stephen/Luis to post on social & email. Glenn to attend the zone 1 meeting next month, Albany, NY. Asked for any subjects/Topics – shoot him an email.

Redbook – essential to the club. It is mostly – user IDs/passwords/URLs – needs to be updated. We need to know the hosting company, who owns the URL, PCA NER.org/com. Some discussion related to storing this in digital secure area . Glenn mentioned that regions have areas on national servers and is a possibility.

Further discussions around website hosting companies and URL registrations followed. Key topics included:

Who are the owners of the URLs and domain names? How are we setup for renewal? Glenn mentioned that most URLS and websites canbe setuo for automatice renewals via a credit card. Kristin pointed that NER does not have a credit card. A debit could be considered. Bailey can focus stay away from a debit card (December 2024 – Owners are not clear, who owns the domains.
Visits to various registration sites list unfamiliar Registrations and ownership names such as Name 106 Inc. (free hosting?) no person attached.
Robert shared he has never heard of Name.com and he is unaware of this domain owner.
org – redirects to Porschenet.com (per Luis) not sure if Brett or sterling setup – the PCANER.org was registered and that redacted for privacy.
Google – Who IS per Kristin, this site can tell you whom the owner.

Treasurer Bailey

Quick books and the new cd categorization the balance at the end of Feb $347, 770 down $24K from last year and we know where we lost those funds from last year (DE/Driving)

2/20 per the vote and moved the $125 into 2 CDs 65,00 8 months 5.01% and earning a ton more than we had been in the past.
Reminder around the subsidies coming from national to complete the form and ensure we have funds to support our members.
$50,000 moved money into the CDs and this should be fine to provide liquidity we need – Asset.
Income –
Bailey remarkd that we actually got a few $$ back from Tupper Manor Gala event!
Calabogie – early registration $22K just shy 20 registered
Watkins Glenn – participants reimbursed the club for a track clean up based on all incidents and the participants pay us back from the DE event (oil etc.)
National on a quarterly basis $8K
On March 6^th we received an additional Special disbursement $9,500 memberships and the sale of the classic club coup.
Expense so far -$28K for Watkins Glenn

Subsidies can be apply for holding certain events, and charitable.

Driving Kristin

Calabogie is still 20 people and less than 20 days to obtain for 10 more people,.If not and it will get cancelled.
Paul skinner sent an email speaking to the Calabogie event/insurance/Educational options for fees in terms of some insurance options.
Charlie finalized his 24 budgets, and it makes sense to use the track rates/rentals and essentially used the same number of people in the run group used in ’23. The rates (daily) has increased.
Upcoming events
1 Thompson 5/23/24-advanced day/25/26 Memorial Day)
2 events at Palmer.
All events are open, and Kristin has tested the system to ensure it is working the way the team intended to.
AutoX – should have the contract this week – there is conversation around sound (Chris and NER have already done that so no change) Chris sent a call for instructors for the novice ground school on 5/4.
Ramble – Mostly sold out 280+ 150 cars and 15 rooms left.

September 26th Motion to approve March 2024 Minutes

KMC tech session was great. Upcoming newcomers’ event is ready to “rock and roll” and we have had 5-10 new members attending. They have met with Mark and he is excited to share about the events on the calendars.

Registration for Events – mark spoke to difficulties and challenges with registrations on

1^st event used the website.
2^nd tried Eventbrite was and the only way to register for free if the event is less than 25ppl and that failed, and I could not pay the extra $10 dollars to move to the next tier.
3^rd Motorsport Reg – heard we can use for free events and asked if we have 1 account combine with driving/social etc.
Kristin feels Auto/DE has 2 separate accounts now and merge the 2 over the winter coming up.
Mark wants to be able to create events and needs logon information – Kristin will introduce to Paul skinner/Chris Ryan and have Mark work with them, and they can speak on how to setup and what the best process forward looks like.
This will allow a one user/id experience and makes sense for our members to have this as login simplified

Bailey shared the Audi groups uses motorsports Reg for everything and shared you can clone events and use the same template for various types of events.

Porsche & Coffee events live.

Sweetberry farm P&C is live.

Cont. with treehouse brewery, Charlton, MA – Researching 2 other locations for P&C. One has possible use for the Summer Party ‘24

Glenn/Mark visited a new location possibly for the Summer Party – MIT Endicott House located in Dedham MA interesting etc. (more to come)

Glenn asked about the Summer Party – Re-examining to how to proceed moving forward – the event does not attract kids and sure what to do about it.

Mark asked if we still want to do the party? The feel of the party may be a little less with car judging and is asking for thoughts. Board overwhelmingly indicated to proceed.
Luis, There’s a wide inventory of events, but the summer party is an awesome way to enjoy yourself and just chill.
Can do games, outdoors events (no lawn show for car parking)
Other concerns
The possibility of a Hagerty speaker is becoming ess likely. The speaker but is willing to do some type Zoom recoding
Robert’s offering – SEG Connecticut to do a factory tour similar to Paul Russell and no photos allowed but they could be an interesting visit.

Luis Communication

Volunteer Page is up and running – perhaps we can resend (reshare) per Mark’s request. Keep front and center on the website and send another reminder in a month or so. Glenn has a volunteer for the social media side and pointed ou that Maddox , now living in NY, used his NER experience to land a job at cars.com

Porsche parade and the October concourse are scheduled on the comm’s promo calendar.

Project – Button up some website edits. Google analytics, tied to this process and is broken and only showing partial data, influences the events.

Will forward what we need from Brett & Glenn.

Recommends Motorsport.reg and will share his thoughts to include.

18 new members (Feb), 1 transfer in 4 out, and 100 renewals and up over last march and overall, not much of a change and things are steady.

Email this Sunday, first event 10 rooms remaining for the ramble.

Calabogie and do a final push for more attendees.

Kristin asked for DE/AutoX is open to add a reminder with some dates to push those 2 offerings.

Meeting began at 6:35pm

Charlie’s wife has passed on March 30^th he wanted to keep low key. Charity to donate MSPCA (services on Friday, April 12^th).

Calabogie – renegotiated the contract and NER will not loose money on the deal for each add ’l person we keep a little bit of money. (Adam was able to negotiate-Great job!).

More participation a bigger push for other events… the numbers are not a huge concern at this point, and Kristin will assume to get a push via email for DE and NCR first week in Lime Rock. We share each other’s events at the driver’s meeting. Watkins Glen has eighty people, so they are doing great for the event and an 80K rental fee so close… Kristin is not concerned and neither is track committee.

Cross promotion – first Auto X events to help make the DE push for participants.

DE Sponsorship – bronze, silver, levels etc. Charlie will need to clarify/share more insight. Justin has stopped coming to the track, and therefore, has pulled back on sponsorship. Tim Kachel not doing so much and does more club racing, We need to find the person who wants more clients, and it seems all the clubs/shops that do work for DE are all flat out with work and not looking for new business right now.

Autocross – Chris is going to evaluate how the BMW club handles logistics associated with monitoring the sound restrictions.

Ramble seems doing well, hoping the rooms have been upgraded and feeling confident.

Concourse – still in a holding pattern and nothing changed, and will keep the same 2023 schedule etc. so no changes needed. Porsche Warwick 1 year unpaid and that is what we believe for them to be outstanding on (Kristin will check quick books)

Dow Rally – Anker will help.

Thompson Track – did we make any deposits? Kristin will verify (Only Watkins Glen is the only one we have paid thus far one was done the second half of March and this collaborates with Charlie’s timeframe etc.

Glenn asked questions regarding when contacts need to be signed. Kristin said contracts do not need to be signed at the beginning of the year and you need dates set prior to creating the contract.

Palmer Track – we are in good standing for the two events for the discount events and after each event we will receive the final invoice.

Candidate for website manager works at Dell and a software Engineer (Ryan) has been a club member for quite some time. He has a strong technical background. Mark and Stephen will be happy to speak to Ryan.

Glenn asked to this forward as soon as possible as soon as possible.

From Brett – We do need User ID/Passwords we need obtain the information. Try emailing Sterling/David and confirm what else we need.

Charity Chair – Someone has raised their hands and is a Lt. Cornel in the national guard two tours of Iraq and lives near Sterling and will trust Sterling. (Christian Neary check spelling) Glenn will finalize the role/clarify on the coordination duties etc… (Loaves and Fishes, Homes for Our Troops)

Robert has picked the replacement and will ask him to send that information out to all… It is Robert’s choice to run point, or we can have Christian to manage… Bobby has chosen a new organization and replacing Homes for Our Troops in terms of club donations for the 2024 Season.

Website build – there is a company doing all the work and this can be an option for us if we get to that point, but we do have this option and can outsource this work and they understand PCA/Regions this can be something we can use as an option.

The Porsches & Coffee event at Tree House Brewing in Charlton went well. Summer Party is progressing and visited two venues. Glenn mentioned that MIT venue didn’t seem suitable

Mark asked Glenn about why we feel MIT not suitable for summer party. Although the venue is beautiful, the car show location was too far away and might unwalkable for some of our members.

Mark canceled the first Porches and coffee for Chestnut Hill due to the storm at the venue owner’s request.

Sobo held their event, and it was windy/cold, and it was a great turnout… have juggled some dates.

Q Car Care Tech session– June has been finalized (will submit to the website)

Mark recognizes that while The Lava Java Cars & Coffees are not PCA events, they will be treated as if they are, but wants to think through the policy and present at the next meeting for discussion.

Stephen likes the Northboro location.

On the issue of the Summer Party Mark will write up the promotional blurb for Stephen to publish.

Membership Chair

Membership numbers compared to April are a bit better in some respects twenty-three new, two transfers in, six left, and (last April 26, 2023), overall it looks like the same 2% increase. Primary region members growing a bit.

The national numbers up 3% from April last year to this year and not bad. Fielding questions/very engaged and interesting month from new members. Had some dialogue with members…

Going forward Stephen will send an email blast near the 1^st and 15^th of the month (actual dates Stephen will own) and wrap up in October 2024. The board agreed that bi-monthly email blasts will ensure maximum event exposure to members. Steve said that given his bandwidth he is able to swing it, but he will get busy with work…

AutoX went well, not heavily attended – could have been due to rain/Mother’s Day. Weather (standing outside is not a fun event for folks) and the Dates are auto assigned through the sports club of America. Next event will take place on Father’s Day

Some new rules (strict) noise levels regarding cars and some got disqualified on the first run, so many began to share a car, the driver is not disqualified. Provide some options around how to soften the noise/sound (to quiet the car)

Thompson looking good eighty sign-up for Memorial Weekend, and it looks like there are 7 days remaining and hoping more and will check the numbers throughout the week.

Treasurers Report

Not much to report, Some paid were bills. AX needed new equipment. The increase in assets from last year to this year was due to DE’s pre-pay Calabogie requirements and the quarterly PCA distribtions.

$575.00 increase in interest earned reflects interest earned from our 2 CDs

A bill that is pending motion on the financials and Watkins Glenn 2 payments both in January ’24 27, 640.-00 a $500 difference on the financial and there were some incidents last year, which were carried over and we as a club. Must pay up front and chase down the individuals $1240.00 to see two people had to reimburse the club.

VP Comms, Luis – New website and comms

Comms have a gentleman Ryan K, smart, analytical and does IT/software engineer at Dell, has shared interest in being the web admin. Brett gave the green light and can support in the transition process. Brett will begin to not take on more than is needed.

Luis to let Brett know decision and will to transition to onboard Ryan within 30 days. Further questions followed regarding regarding ownership names associated with the web hosting company, how the URL(s) and hosting is renewed. Kristin & Bailey confirmed that the NER does not have a credit card, payments could be made by issue a debit to NER’s to bank accounts. As part of this audit, it was agreed that if any of the URLs or hosting plans are owned with personal names, we should change to NER ownership. Glenn reminded that this information will need to be entered into the Redbook

Porsche’s and Coffee at university 8:00am and 40-50 cars showed up and a broad selection of cars/people and that was a good event.

According to the bylaws, we must elect nomination committee chair to find next year’s board candidates. We should discuss bylaw changes as discussed in executive session to allow board members to have a 3yr term vs. 2yrs.

Glenn believes that year 1 is a learning year. Year 2 the board member is fully up to speed. Then we start the cycle over again

Chair needed / community coordinator (Christian) community partnership manager – someone who can manage our charitable contributions. We ask the club for other members for their input in terms of who we support and not always working through the military sleeve and allow everyone to have a say in the charity for other groups, mental health etc. where does this role fit, and it will report to the president.

Glenn opened to share around by-laws and updated financial data/tax information the need for a nominating chair for the November elections. Kristin reminded us that the nominating chair should be someone not eligible for the upcoming year. Glenn reminded all the there can only be one board member on the committee.

Bailey – Financials Kristin and Bailey have worked through reports, edits, recategorized and still learning/navigating around quick books, charting accounts and the income section vs expense and things need to get cleaned up and thank you everyone for helping.

Glenn observed the bank a/c is up 60K year over year May/May. The income statement is due to DE and the recognition and collection of money earlier vs the past. The expenses at Thompson have not hit yet vs this year vs last year and it will look and appear as a significant increase. On the PNL report Calabogie registered sooner rather than later, and the expenses as well and notable and it does not move the needle overall and the interest earned through May 31 214 in interest we earned 1, 707 dollars to move into the CDs to earn 62, 500 in 2 CDS and it is a great move and 1, 700 at our January meeting it can cover things and a great move we made..

Noticed: no revenue for the ramble and the club reg we used, we need to request for the dollars that are due to us and usually, will receive an email from the team to help us obtain the dollars. We also need to remember timing is key in terms of receiving dollars. there is a report for what to expect and a $95.00 difference and the deposit was $6,500 and we want the numbers to be accurate and we should keep an eye on the system and have not booked through the end of month and it will be booked and fixed and ensure they are on top of the reimbursement.

I receive an engagement letter annually via cost for accounting/filling tax and this year it was a material change and pushed back and it was a big change from last year and they said sorry and made the inquiry much less in the scope of inquiry and had the engagement letter, accessed the quick books and the tax filing is all set on that front. I need to get the 990 to file and get the document and post a preserve on Freedcamp, they stated it was sent and I could not find, and I will get the tax filings and place on Freedcamp. There are prior years and there is a signature and the 990 I realized I had not placed, and it was not shared with me from what I can tell and will get them.

Expectation from Monday’s conversation and hoping it will be sent quick per Kristin and Bailey asked to have them resent and that is it on my front.

Mark

Events in full swing. The event that took place at Q Car Care event was held. There was a noticeably big turnout. It was a very interactive session based on product usage with a lot of dialogue.

Possible tire expert to do a presentation around for the club – candidate has blown up and a great guy (possible connection) and this will be new and different. Mobile Tire/Breaks and will be willing to speak around date codes on tires etc. and interesting.

Summer party

Currently reviewing dates and for available weekends that do not clash with existing NER events. Looking at Lake Pearl in Wrentham on the 14^th of July and August 25, both Saturdays. Since the venue is located on a lake, swimming will be available, a NER first. We need to verify if waivers are needed. August works since kids must be back for the summer.

Also, the main building could make a great venue for the Gala. We can get a discount if we book for the Gala and Summer party. The ride is not bad for most members. Mark will check on availability of local hotel(s). Learning from last year, a Friday night will NOT work. The venue offers a Sunday brunch open to the public. Will try to get one.

Treehouse Brewery coming up.

Would like some media coverage for the event. Prior events were not NER Porsches & Coffee and were under our control. This time it is. June 23^rd is the scheduled time.

Kristin

Thompson did really well, and a small profit was generated. We had a great advancement drivers’ day to help the driver (solo) blue and above and do some passing and allowing them to learn while being a little uncomfortable.

The classroom over lunch is now more conversation around the track and being more prepared on discussions and more dialogue. The team has spent the past winter putting some nice presentations together and a much better job of making them better and relevant for the green/yellow drivers.

Ramble

Concerns re: previously aggressive drivers have been expressed by Doreen, Dennis, Peter, and Larry. Kistin is happy to send an email with a strict warning to those offenders after a phone call with to board members on the call. Kristin shared that we would add in some strong language into the bylaws terms/conditions. Further consideration was given to creating a waiver/acknowledgement documentation for Ramble registrants.

Kristin will reach out to Doreen to schedule a Zoom call and speak to all three offenders. The goal is to communicate to those offenders that the behavior will not be tolerated. If they have objection, they petition to the club president and board.

Dennis’ wife passed away. Kristin will send something from the club and will also share details of the services Carol Ann Friedman, funeral service was yesterday. (Donations in carol’s memory) and will send the donation of $250.00 and they were married 53yrs.

Suggestions from Audi Bi-Laws (Bailey) – Documents speak to behaviors on the road of reckless driving language. Willing to share.

Likely candidates for the Nominating Committee Chairs are Kristin and Robert. Kristin will check in with Robert.

Bailey Treasurer’s report

Bailey reviewed the Balance sheet & Income Statement as of July. Both statements are strong and much approved from last year at this time. The financial investment and strategy into two CDs at NER’s bank have produced over a 1,000% return YTD as compared to last year. Based on last month’s discussion and concern about lowering interest rates, two additional 8-month CDs of equal value ($62,500 each) were purchased supporting a role-over strategy.

Bailey noted the income from the successful DE events has increased since last year.

Bailey pointed out that each CD earns ~ 160/month which can help fund numerous events like Porsches & Coffee, or other such events. Bailey further financial improvements due to DE success year to date. Note:

Kristin – Driving

DE is doing very well and has exceeded expectations for this year thus far. Watkins Glen ended up with thirty more drivers than expected which resulted in additional revenue. It was a good event despite four inches of rain on Friday.

Charlie Dow Rally

Bill & Anker have opened registration for The Charlie Dow Rally, and they are concerned that no one has yet to register. Stephen confirmed that the event is listed on the top of the monthly email blast. Other options for event promotion such as FB and IG were discussed.

Autocross

AX registrations are down substantially, which is unusual. With new sound restrictions and fears of some GT3 drivers have stopped that their cars will exceed sound restrictions. The first two events of the season were held on Mother’s Day and Father’s Day, which did not help.

Luis noted that AX info is shared on all messaging platforms. Luis asked if DE is seeing flat or more participants. Kristin shared DE is seeing more uptick and noted that the DE team has done more work on driver educational materials. For many years, the classroom session was light etc. The is feeling and they have taken the classroom to new levels.

Luis asked is there a general lack of AX education? Kristin wants to work with Chris and try to understand the drop in attendance. Some have “graduated,” some moved to DE, and some folks are concerned that the stock cars would not pass recently implemented noise restriction. Glenn asked Kristin if the successful DE education improvements could be an approach applicable to AX. Kristin said Dave (Berman) would be willing to help. In addition, Glenn asked if webpage refreshes add some operational changes could help. Kristin wants point,

Luis recommended applying for learning towards next year and nothing to do this year.

Robert offered a suggestion for one or two tech sessions focused on AX. Some members with zero experience may feel intimidated by AX. Robert noted new members may not understand what to expect and feel intimidated.

Conversely, more advanced AX drivers are interested in subjects such as car setup, bleeding brakes, treadwear, selecting brake pads etc.

Luis wants to simplify it further: Tires, a new owner may not understand the difference with treadwear and ratings. The worst thing you do is hit a cone. One or two sessions can address beginners and/or experienced drivers.

Kristin and Dave will work with Chris to brainstorm on possible improvements to increase participation as DE has recently implemented more education into their events.

Bailey shared a focus on advanced techniques/drivers/tech session and more advanced topics and can attract others who may want to hear about in the winter months. It will be held in the winter months. like a teaser and help prepare for the driver season. Try to work with others and who are instructors to help with advanced driving concepts. Tech sessions held at our service providers would be the best venues.

Glenn asked Kristin to introduce this idea of a tech session with Chris.

Luis – Communication

Has not been presented and things have been crazy, and I will say with my remaining time if you need support from comms and wants to hold himself accountable.

Comms – how are driving events doing and willing to be a part of the conversation with Chris to apply from DE to AutoX

Promotions: Update marketing collateral (Via sponsorship/Advertising) and 2 months ago got an opportunity to work with the restoration and auto shop and they tried and did something Shop Talk Volume I (Strengths, business and brought in 1K just shy) and if works another option to consider for next year.

Level of effort: person/zoom/via email/collect images etc. and build the article based off the one we created last yr. and have a full conversation and puts an hour to put together and working in total 2-3hrs and can make 800-1k for 5/6 hrs. of work and 90 day program and the first month, logo email, logo on web, 2^nd editorial and we have steps to run 60-90 day period and can have another thing to offer via advertising and Stephen shared it was relatively easy and the time is in the editorial and we need to figure out the questions/structure and should not be more than 5hrs… we can simply work via Microsoft word doc and provides the necessary info the shop talk/story and can be done in a variety of ways and we can replicate it. 1K 3 months of advertising and 15-20K per year to put towards donuts/coffee.

Projects: chair role placed on role and priority and now we have analytics tracking and what are we going to do with the info and who will use actively and need to understand why this is a priority.

Robert shared which areas can deliver good sponsorship and the value/cost via an add standpoint and what we can sell via the website.

Centralizing login information – Freedcamp for social media handles and etc. and can work on via September.

Number of hits: 6K from 3,500 people visit from individuals and it is tracking properly Google analytics.

Glenn would like to see if we can breakdown and isolate 90 days/year to date. We can share our story and offer our members a substantial size project.

Website redesign and try to get a website assessment from Ryan (hold/pending/pay someone to support), Mark has a car guy and see if he will consider (use a proper website design tool) and see if we can have someone to review the Martha Dow page and a couple of photos do not come out correctly.

Stephen Membership

July we had 17 new members and one transfer in and five transfer out and 27 renewals and 14 lapsed membership and the numbers are a little down for July and June’s numbers were better for new members and can be on vacation etc. will wait for the august numbers, Glenn asked about the new price increase and Stephen stated he was not sure if it affected the July membership totals.

Glenn revisiting Board 3yr terms: Kristin disagrees can leave a better onboarding conversation, who would potentially not want to do a 3yr sting etc. it can lead someone to being on the board for 9yrs.

Luis’ perspective – Proper onboarding and training, efficiency should consider mutual onboarding plan and then extend the role, the more they want to do the work etc. others may want to do this, and it is a possibility to figure out the onboarding aspects.

Bailey’s perspective – we do not allow the successive terms and I am precluded from running again as treasurer and the terms can be done 2 consecutive and it works at Audi, and we can consider if people want to run in the same role IF they want to raise their hand to do that and can do ultimately 6 yrs. in some roles. Effective, enjoying themselves and the board can say no et. with some checks and balances.

Luis asked if we are not allowed via PCA laws and Kristin shared the intent is to have a check and balance.

Stephen agreed with Luis on terms of the onboarding.

Glenn the need to experience things happening and get up to speed and put together a transition and we must keep looking for others and if there are people who want to remain and that is one less person to train and to work in this process.

Mark shared could someone resign if they do not want to continue as a member of the board.

Porsche and coffee is unable to attend and shared 50 ppl for the event and first and foremost the party the extra focus and what I learned, it took a while to find a new location and we did not push enough and we have folks registering and we have until Friday we have 60 ppl now and we are good in terms of the number and only 1 child registration and ask if dogs are allowed. Dan and Avril will volunteer, and we have lawn games as well.

Tech session at Justin’s and will inquire if in October.

Did we invoice Justin, the answer is yes by Bailey, and we can move that to a completion.
