Meeting began at 6:35pm
Charlie’s wife has passed on March 30th he wanted to keep low key. Charity to donate MSPCA (services on Friday, April 12th).
Kristin
Calabogie – renegotiated the contract and NER will not loose money on the deal for each add ’l person we keep a little bit of money. (Adam was able to negotiate-Great job!).
More participation a bigger push for other events… the numbers are not a huge concern at this point, and Kristin will assume to get a push via email for DE and NCR first week in Lime Rock. We share each other’s events at the driver’s meeting. Watkins Glen has eighty people, so they are doing great for the event and an 80K rental fee so close… Kristin is not concerned and neither is track committee.
Cross promotion – first Auto X events to help make the DE push for participants.
DE Sponsorship – bronze, silver, levels etc. Charlie will need to clarify/share more insight. Justin has stopped coming to the track, and therefore, has pulled back on sponsorship. Tim Kachel not doing so much and does more club racing, We need to find the person who wants more clients, and it seems all the clubs/shops that do work for DE are all flat out with work and not looking for new business right now.
Autocross – Chris is going to evaluate how the BMW club handles logistics associated with monitoring the sound restrictions.
Ramble seems doing well, hoping the rooms have been upgraded and feeling confident.
Concourse – still in a holding pattern and nothing changed, and will keep the same 2023 schedule etc. so no changes needed. Porsche Warwick 1 year unpaid and that is what we believe for them to be outstanding on (Kristin will check quick books)
Dow Rally – Anker will help.
Thompson Track – did we make any deposits? Kristin will verify (Only Watkins Glen is the only one we have paid thus far one was done the second half of March and this collaborates with Charlie’s timeframe etc.
Glenn asked questions regarding when contacts need to be signed. Kristin said contracts do not need to be signed at the beginning of the year and you need dates set prior to creating the contract.
Palmer Track – we are in good standing for the two events for the discount events and after each event we will receive the final invoice.

Candidate for website manager works at Dell and a software Engineer (Ryan) has been a club member for quite some time. He has a strong technical background. Mark and Stephen will be happy to speak to Ryan.
Glenn asked to this forward as soon as possible as soon as possible.
From Brett – We do need User ID/Passwords we need obtain the information. Try emailing Sterling/David and confirm what else we need.
Charity Chair – Someone has raised their hands and is a Lt. Cornel in the national guard two tours of Iraq and lives near Sterling and will trust Sterling. (Christian Neary check spelling) Glenn will finalize the role/clarify on the coordination duties etc… (Loaves and Fishes, Homes for Our Troops)
Robert has picked the replacement and will ask him to send that information out to all… It is Robert’s choice to run point, or we can have Christian to manage… Bobby has chosen a new organization and replacing Homes for Our Troops in terms of club donations for the 2024 Season.
Website build – there is a company doing all the work and this can be an option for us if we get to that point, but we do have this option and can outsource this work and they understand PCA/Regions this can be something we can use as an option.
Mark
The Porsches & Coffee event at Tree House Brewing in Charlton went well. Summer Party is progressing and visited two venues. Glenn mentioned that MIT venue didn’t seem suitable
Mark asked Glenn about why we feel MIT not suitable for summer party. Although the venue is beautiful, the car show location was too far away and might unwalkable for some of our members.
Mark canceled the first Porches and coffee for Chestnut Hill due to the storm at the venue owner’s request.
Sobo held their event, and it was windy/cold, and it was a great turnout… have juggled some dates.
Q Car Care Tech session– June has been finalized (will submit to the website)
Mark recognizes that while The Lava Java Cars & Coffees are not PCA events, they will be treated as if they are, but wants to think through the policy and present at the next meeting for discussion.
Stephen likes the Northboro location.
On the issue of the Summer Party Mark will write up the promotional blurb for Stephen to publish.
Membership Chair
Membership numbers compared to April are a bit better in some respects twenty-three new, two transfers in, six left, and (last April 26, 2023), overall it looks like the same 2% increase. Primary region members growing a bit.
The national numbers up 3% from April last year to this year and not bad. Fielding questions/very engaged and interesting month from new members. Had some dialogue with members…
Going forward Stephen will send an email blast near the 1st and 15th of the month (actual dates Stephen will own) and wrap up in October 2024. The board agreed that bi-monthly email blasts will ensure maximum event exposure to members. Steve said that given his bandwidth he is able to swing it, but he will get busy with work…
